Awareness to Connection — Privacy Notice

Updated 6 November 2026

About this notice

This notice explains how Safe Harbour Therapy and Counselling OÜ handles personal information when you use Awareness to Connection, an Awareness Orchard app for individual relationship coaching and education. It covers this app, not your use of Awareness to Action or an individual therapy service. No partner account is needed.

The app is intended for adults aged 18 and over. Generated guidance can make mistakes. The app is not therapy, diagnosis, medical advice or emergency support.

Who is responsible

The data controller is Safe Harbour Therapy and Counselling OÜ. For privacy questions, access or deletion requests, contact drnjenner@theonlinetherapist.blog. You can also use the support page at https://theonlinetherapist.blog/support/. The Awareness Orchard is the app family name.

Your account and access

We use your email address, a separate Connection account identifier, sign-in codes and session information to provide and protect your account. Supabase handles authentication. Resend delivers sign-in and account-verification emails. Your email address is not included as a customer attribute in requests to our purchase service, and your sign-in code is not sent to the coaching or voice providers.

Apple or Google processes purchases. RevenueCat uses your Connection account identifier, store transaction and entitlement records, and technical app/device information to recognise purchases, restore access and handle changes such as renewal, expiry or refund. We do not receive your full payment-card details through the app.

What you send for coaching

AI is used to formulate responses based on Dr Nicholas Jenner’s coaching approach, principles and guidance, together with what you choose to share. When you choose Send, your message and the conversation context needed for a reply pass through our private service to OpenAI. Context can include earlier messages and a compact handover of the same conversation, so you do not have to repeat yourself.

You choose what to share. Avoid names, contact details and information identifying another person where they are not needed. Relationship conversations may contain sensitive information, including health or sex-life information, if you choose to include it. Before you first share words or use voice processing, the app asks once for permission covering coaching, transcription and listening. Your agreement is remembered for your account on this device; each feature processes content only when you choose to use it. Reopening the app or starting another conversation does not ask again. You can withdraw permission in Privacy and app information. Withdrawing it stops future optional processing; it does not undo a request already completed.

Replies support your reflection and choices. They are not decisions about your rights, eligibility for services, health care or another person’s intentions. Simulated conversations do not predict what a partner will say or do.

Speaking and listening

Speak records only when you start it and give microphone permission. A recording you choose to transcribe passes through our service to OpenAI and returns as editable text. You review that text before choosing Send. Recording alone does not submit the text for coaching. Recording can continue during an iPhone screen lock within the app’s recording limit; the app provides recovery controls after an interruption.

Listen sends only the generated reply you select and a voice choice through our service to ElevenLabs to create audio. It does not send your microphone recording or the whole conversation for reading. A reply may itself contain details you shared, so review it before choosing Listen. You can stop playback and withdraw coaching and voice permission in Privacy and app information.

Information kept on your phone

The current conversation, conversation handover, unsent words and saved ideas are kept in protected, account-scoped storage on this device. They are not a cloud journal and are not synced to another phone. Appearance and voice preferences are also stored locally.

Clear and start again removes the current conversation and recovery copy. Signing out removes current conversation recovery; saved ideas can remain for the same account. Account and privacy includes a separate control to clear that account’s conversation, unsent words and saved ideas from this phone. On an iPhone, uninstalling alone may leave protected storage behind. Our service cannot remotely erase another device.

Temporary recordings and generated playback files are used locally for recording recovery, transcription and listening. Successful transcription or cancellation removes the app’s recording file; an interrupted or failed recording may remain available for recovery until you use or discard it. Playback files are cleaned up when the player releases them. These cache files are separate from content you deliberately send to a provider.

Reports, support and external links

If you report a generated reply, you review and can edit or redact the selected words before sending. We save those reviewed words, your chosen reason and optional comment with your Connection account identifier so support can investigate. We do not automatically attach the rest of the conversation, your email address or a recording. Submitted reports are removed with your Connection sign-in account; you can also ask support to remove a report separately. Reports are kept while needed to investigate and address the issue, with removal when that purpose ends unless a legal or security reason requires retention.

If you contact us by email or WhatsApp, the information you choose to send is handled through that service and our support process. Contacting a professional does not automatically create a therapy relationship. Further Reading requests public article information from The Online Therapist; private coaching words are not attached to that feed request. Opening an article, contact link or app-store link takes you to a separate service with its own privacy information.

Why we process information

We use account and purchase information to provide the service and access you request. Optional coaching, transcription and read-aloud processing takes place with your permission; where you choose to provide sensitive information, your explicit consent is the basis for that optional processing. You can use the non-processing guides without submitting sensitive content.

We use limited technical and security information to protect the app, prevent misuse and investigate faults, based on our legitimate interest in running a secure service. We process information required for accounting, legal requests and other applicable legal obligations where necessary. Support requests and reply reports are used to respond to you and investigate the problem you raise. We do not sell your personal information or use private coaching content for advertising.

Infrastructure services receive your IP address and may keep an approximate country or city derived from it, request times, network information and technical error details for security, abuse prevention and service operation. The app does not request GPS or precise device location.

Our private usage safeguards store your Connection account identifier, the type and time of a request, and its completion status to prevent duplicate or excessive simultaneous requests. These records do not contain your words or recordings. They are short-lived operational records; cleanup happens when the service next handles a request rather than at a guaranteed deletion time.

Providers, storage and international processing

Our providers include Supabase for authentication, private services and report storage; Resend for account emails; OpenAI for coaching and transcription; ElevenLabs for optional speech; RevenueCat for purchase checks; and Apple or Google for distribution and payment processing. They receive only the information needed for those functions, together with technical and security information generated by their services.

Ordinary coaching conversations and audio are not stored as a conversation database on our app server. This is different from submitted reports, account records and provider records. OpenAI API requests are not used for model training by default; our coaching requests disable saved response storage. OpenAI may retain coaching content in abuse-monitoring records, normally for up to 30 days and longer where required for legal or safety reasons. Its transcription endpoint has different retention controls. ElevenLabs may retain selected text and generated audio under the service’s logging and retention arrangements; we do not describe Listen as a zero-retention service.

Provider information is available at https://developers.openai.com/api/docs/guides/your-data, https://elevenlabs.io/privacy-policy, https://supabase.com/privacy, https://resend.com/legal/privacy-policy and https://www.revenuecat.com/privacy/. We remain your contact for information processed on our behalf.

These providers operate internationally, and information may be processed outside your country or the European Economic Area. Applicable provider contracts and transfer arrangements govern those transfers. Contact us for details of the safeguards for a particular processing activity. We do not promise that all processing stays in the EEA.

Retention, deletion and your choices

We keep sign-in information while your account is active. Account deletion permanently removes the sign-in account and submitted reply reports, then the app clears that account’s conversation, unsent words and saved ideas from the phone performing deletion. The app verifies the request using a fresh code sent to the account email. If deletion or local cleanup is interrupted, it offers recovery rather than claiming the process is complete.

Deleting an app account does not automatically cancel an Apple or Google subscription, refund a purchase or erase statutory transaction records. Manage subscriptions separately in the store account used to buy them. Purchase providers and infrastructure services can retain records needed for transaction handling, security or legal obligations. Support correspondence is kept as needed to handle the request and any applicable legal obligation.

You can request account deletion without the app by contacting drnjenner@theonlinetherapist.blog from the account email, with the subject “Delete my Awareness to Connection account”. Do not send passwords, codes, card details or private conversation content. We will verify that the request concerns your account before deleting it. This route can also be used to ask about remaining provider records.

Your rights and complaints

Depending on applicable law, you may request access, correction, erasure, restriction, objection or a portable copy of relevant personal information, and withdraw consent where processing is based on it. Contact us using the details above. We may need to verify your identity proportionately. We will respond within the period required by applicable law, normally one month for an EEA data-protection request; where an extension is permitted, we will explain it.

You may complain to your local data-protection supervisory authority, including CNIL in France or the Estonian Data Protection Inspectorate where relevant. Please contact us if you believe a child has provided information through the app.

Changes

We will update this notice when the app or its data practices change. The published version will show its update date. Material changes requiring a new processing choice will be presented before that processing starts.
